JOB OPENING:
Job Title: Pre-Construction Admin
Division: Pre-Construction and Estimating
Reports To: Director of Pre-Construction
Salary: $28.50 – $33.50 hourly
Position Summary
The primary function is to contribute to the growth and profitability of the company through supporting the pre-construction and estimating staff to deliver exceptional proposals on assigned projects and meet the clients’ needs while maintaining company values. This role is instrumental in the pursuit, planning and execution of projects bid in the local market along with being responsible for coordination with the other departments to ensure cohesion at the company level.
ESSENTIAL JOB DUTIES
- Initiate a TEAMS meeting with the Estimating Team to review the bid log for updates and review the Potential Projects to estimate in preparation for the weekly meeting
- Prepare and maintain the Bid Log spreadsheet tracking Current and Total Bids and Year End Analysis
- Create bid numbers and SharePoint folders for incoming bid opportunities and enter in to Bid Log spreadsheet
- Participate in a weekly workload/backlog coordination meeting
- Review and Track each Bid for bid requirements
- Assist Director and Assistant Director in Developing and Writing Technical Proposals for Bids
- Prepare documentation for Preconstruction “Kick-Off” meetings
- Initiate required Certificate of Insurance (COI)’s, and Performance and Payment Bonds at contract award prior to turning over to the Project Manager(s)
- Procure COIs for Project Managers when requested for individual projects
- Maintain and update the Project List daily
- Cross-train with Estimating department to assist in various estimating platforms, such as Building Connected and MS Project
- Convert Employee Resumes to the Stella May Format
- Create and maintain organized filing system
- Assist in developing Pre-Construction manual
- Receive Voicemail messages and deliver to appropriate recipient(s)
- Reflect and uphold the mission and values of the Company

- Other Duties as assigned.

- Must have analytical skills
- Must be coachable – able to listen and follow directions
- Able to meet deadlines and adaptable to many situations
- Working knowledge of office equipment, like printers and fax machines
PHYSICAL DEMANDS / REQUIREMENTS
The following physical demands are representative of those that must be met to successfully perform the essential functions of this job.
- Employee must be able to stand and sit for extended periods of time, and to stoop, bend, and crouch as required to perform key duties
- Employee must be able to lift 20 to 30 lbs. as needed
