Job Title: Contracts Compliance Specialist
Division: Preconstruction/Estimating
Reports To: VP of Contracts Compliance
Pay Range: $65,000.00 – $80,000.00
Position Summary
The Contracts Compliance Specialist plays a critical role in building our Contract Compliance Infrastructure (CCI) system from the ground up. This position focuses on the design, testing, and implementation of our new CCI platform, alongside standardizing department workflows. Ideal for a tech-savvy, process-driven professional, this role combines construction contract administration with system implementation. You will collaborate across all departments to ensure our contracts are digital, organized, and strictly compliant.
ESSENTIAL JOB DUTIES
- Template Standardization: Organize and format master templates for seamless integration into the CCI system.
- System Testing & Optimization: Participate in User Acceptance Testing (UAT) to identify system bugs, test automation rules, and suggest configuration improvements before the departmental launch.
- Standard Operating Procedures (SOPs): Help draft clear, step-by-step internal compliance manuals and CCI user guides for department teams.
- Filing System Architecture: Build and maintain clean, organized digital filing structures to ensure all records are instantly searchable and audit ready.
- Training Support: Create simple user guides, cheat sheets, and training materials to help project teams successfully adopt the new policies and procedures.
- Inter-Departmental Coordination: Act as the administrative bridge between departmental teams to enforce compliance rules.
- Negotiation Support: Support contract negotiations and provide input on terms, conditions, and amendments.
- Compliance Monitoring: Assist in the monitoring of contract compliance, identifying and addressing non-compliance issues.
- Administrative Operations & Reporting: Perform high-volume data entry, maintain accurate records, and generate compliance reports to support leadership, procurement activities, and contract professionals.
COMPETENCIES & REQUIREMENTS
- Process & Execution Mindset: Strong organizational skills with a natural affinity for rules, checklists, and compliance workflows.
- Tech-Savviness: Exceptional comfort level with software platforms, including Excel; ability to learn, test, and troubleshoot new digital tools quickly.
- Data Integrity: Proven ability to perform accurate, high-volume data entry and digital file organization with zero errors.
- Construction Literacy: Familiarity with construction-specific legal documents, subcontract agreements, procurement processes, and industry terms (e.g., retainage, lien waivers, COIs).
- Strong Communication: Clear verbal and written communication skills to collaborate effectively with subcontractors, vendors, and internal teams.
- Time Management: Ability to multitask, prioritize tasks in a fast-paced environment, and track tight project deadlines.
- Discretion: Absolute integrity and reliability when handling confidential project costs, financial data, and legal agreements.
